Privacy policy

All personal data you provide when applying for a CERTIFICATE will only be used for the preparation of your TRAVEL CERTIFICATE and to inform you about our services and cannot be used for any other purpose. However, your contact details, such as name and email, may be used to inform you about Mobeyond's products and services.

Your data will only be accessible to authorized Mobeyond personnel for support purposes and to the owner of the vehicle you mentioned to decide on your application. These personnel may choose to verify the content of your query with a third party and take full responsibility for taking the necessary precautions regarding data protection. Government agencies and the Chamber of Commerce will be able to read the content when granting a visa (legalization) for the signature and legalizing the CERTIFICATE for international use. The Ministry of Foreign Affairs will include the final ORIGINAL of your CERTIFICATE in [www.legalweb.diplomacy.be](http://www.legalweb.diplomacy.be), an internationally recognized highly secure government platform that aligns with applicable privacy laws and requirements.

For filling out a second, third, etc. application, certain data will be stored so that suggestions for certain fields can be presented to you, which you can confirm or delete. This is only to help you act more efficiently and speed up the application process.

Mobeyond BV, an ISO27001 certified organization, does everything to ensure your privacy and therefore handles personal data carefully. We always comply with applicable laws, including the General Data Protection Regulation (GDPR). This means that we:

  • process your personal data in accordance with the purpose for which it was provided, these purposes and types of personal data are described in this Privacy Statement;
  • limit the processing of your personal data to only those data that are minimally necessary for the purposes for which they are processed;
  • ask for your explicit consent if we need it for processing your personal data;
  • have taken appropriate technical and organizational measures to ensure the security of your personal data;
  • do not pass on personal data to other parties, unless this is necessary for the execution of the purposes for which they were provided.

Why do we process personal data? 

Your personal data is processed by us for the following purposes: 

• Preparation, validation, and legalization of your TRAVEL CERTIFICATE 

• Informing you about our services 

• Support purposes

 

Your personal data is processed by us based on the following grounds: 

• The processing is necessary for the performance of a contract to which the data subject is a party. 

• The data subject has given consent for the processing of their personal data for one or more specific purposes by applying for their certificate. 

• Legitimate interest in informing you about our services.

 

For the above purposes, we may request (and store) (collect) (process) the following personal data from you: 

• Personal identity data: name, first name, address, phone number, email, name of your employer, job title 

• Personal characteristics: gender, mother tongue • Vehicle and geographical data: license plate, countries you wish to drive to 

• Areas of interest for which you have indicated you want to receive information

 

We use the collected data only for the purposes for which we obtained the data.

 

Provision to third parties 

The data you provide to us may be shared with third parties if this is necessary for the execution of the purposes described above. For example, we use a third party for:

  • providing the internet environment (web hosting);
  • providing IT infrastructure (e.g., IT network, database);
  • validating your application with the vehicle owner;
  • legalizing the signature and apostilling the document.

 

We never pass on personal data to other parties (processors) with whom we have not concluded a processing agreement. With these parties (processors), we make the necessary arrangements to ensure the security of your personal data. Furthermore, we will not pass on the data you provide to third parties unless this is legally required and permitted. We may also share personal data with third parties if you give us (written) permission to do so. You have the right to withdraw this consent without affecting the lawfulness of the processing before its withdrawal. We do not provide personal data to parties located outside the EU.

 

Minors

We only process personal data of adults (persons over 18 years old).

 

Retention period 

Mobeyond BV does not retain personal data longer than necessary for the purpose for which it was provided. 

Data is not kept longer than 2 years after the last use.

 

Data Security 

We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing:

  • All persons who can access your data on behalf of Mobeyond are obliged to maintain confidentiality.
  • We have a username and password policy on all our systems.
  • We pseudonymize and encrypt personal data when necessary.
  • We make backups of personal data to restore them in case of physical or technical incidents.
  • We regularly test and evaluate our measures.
  • Our employees are informed about the importance of protecting personal data.

 

Your Rights Regarding Your Data 

You have the right to access, correct, or delete the personal data we have received from you. You can contact us via the contact page on our website. You can also object to the processing of your personal data (or a part thereof) by us or by one of our processors. Additionally, you have the right to have the data you provided transferred to yourself or directly to another party at your request. We may ask you to identify yourself before we can comply with the aforementioned requests.
